Why Notifications Fail
In many products, muted notification channels are the norm rather than the exception. The cause is usually the same: high frequency. When messages pile up, users develop notification fatigue and dismiss anything that pops up, regardless of its actual importance.
This pattern shows up consistently in usability testing, yet products continue to push more alerts in hopes of capturing attention. The result is often the opposite of the intended effect.
Different Strokes for Different Notifications
Notifications are distractions by nature, but they serve a purpose when they flag something significant the user isn't aware of. They can bring structure to a daily routine — until they become noise.
Not every communication option qualifies as a notification. As Kim Salazar noted:
“Status communication often relies on validation, status indicators, and notifications. While they are often considered to be similar, they are actually quite different.”
Notifications generally fall into two categories: informational (calendar reminders, delay alerts, election results) and action-oriented (approve a payment, install an update, confirm a friend request). They stream from multiple sources with varying impact:
- UI notifications appear as subtle cards while users interact with the interface — widely accepted and less invasive.
- In-browser push notifications are harder to dismiss and draw attention even when the user isn't on the page.
- In-app notifications live within desktop and mobile apps, ranging from humble UI messages to home-screen alerts.
- OS notifications cover software updates, carrier changes, calendar notes, and everything in between.
- Notifications can also arrive via email, SMS, and social messaging — from chatbots, recommendation systems, and real people.
Users don't give equal attention to every notification. A software update might sit ignored for weeks, while a LinkedIn request gets a response within hours.
Severity Dictates Attention
How and when a notification is triggered determines the level of attention it receives. Users care more about messages from close friends and relatives, bank transactions, calendar alerts, and actionable confirmations. They care less about news updates, social feed activity, announcements, new features, crash reports, and automated promotions. A message from another human is always valued above any automated alert.
Notification design can be broken down across three levels of severity, as Sara Vilas suggests: high, medium, and low attention. Each level contains specific notification types.
High attention requires immediate response:
- Alerts (attention required now),
- Errors (action required now),
- Exceptions (system anomalies),
- Confirmations (potentially destructive actions needing user approval).
Medium attention can wait:
- Warnings (no immediate action),
- Acknowledgments (feedback on user actions),
- Success messages.
Low attention is passive:
- Informational messages (something is ready to view),
- Badges (indicating something new since last interaction),
- Status indicators (system feedback).
Mapping attention against messaging type also suggests an appropriate tone — more humble, real, distilled, or charming depending on impact. The more personal, relevant, and timely a notification is, the higher the expected engagement.
Ramp Up Gradually
It's common to sign up for a service and immediately get flooded with irrelevant messages — the worst possible on-boarding. A Facebook study showed that sending fewer notifications improved user satisfaction and long-term usage. When the notification rate dropped, traffic initially fell, but it gradually recovered and eventually became a net gain.
A better approach is to set a slow default frequency for different customer types. As the user becomes more engaged, ask them to choose preferred notification types and frequency. Start slowly, then increase or decrease volume per customer segment based on usage. This tends to serve retention better than aggressive initial outreach.
Provide Modes, Not Just Toggles
Giving users individual opt-in and opt-out toggles for every notification type is thorough but overwhelming — and it doesn't clarify each notification's importance. Predefined modes are a cleaner alternative: a “calm mode” (low frequency), a “regular mode” (medium frequency), and a “power-user mode” (high frequency).
Over time, the format may need adjustment too. Instead of sending notifications one by one, users might prefer a “summary mode” — all notifications grouped into a single message delivered daily or weekly at a set time. Slack offers this kind of control; its system adapts notification frequency as activity grows, initially sending alerts for every message, then recommending reduced levels so users are only pinged when they're actually mentioned.
Handle Preferences During Onboarding
Notification settings belong in the onboarding flow. Basecamp introduced “Always On” and “Work Can Wait” options for new customers, letting them receive alerts as they occur or choose specific times and days when notifications are allowed.
The reverse approach also works: ask users when they don't want to be disturbed and suspend notifications during that window. Many users don't want work messages outside business hours, even if colleagues on the other side of the planet are active on a Friday night.
Let Users Press Pause
Context changes constantly. If engagement drops unexpectedly, or if an event like a birthday or election night generates an unusual notification spike, consider offering a way to mute, snooze, or pause notifications — perhaps for 24 hours.
This feels counterintuitive; re-engaging a silent customer or maximizing reach during important moments seems sensible. But a seemingly harmless notification can push a user away for good.
Another lever is suggesting a different medium. In-app, push, and SMS notifications feel far more intrusive than email. When frequency exceeds a reasonable threshold, nudging users from push notifications toward a daily email summary may preserve engagement without the interruption.
Start Slow, Stay Flexible
Timing matters in notification UX. Start slowly and evolve frequency based on how each user actually interacts with the product. Define notification profiles for distinct user types — frequent, infrequent, first-week, first-month — and adjust from there.
Allow users to snooze and mute whenever possible. If needed, suggest a switch in the medium they consume alerts through. And when in doubt, postpone the notification rather than sending it through.
